We are a very small school with only one classroom per grade level so this works well for us. All grade levels participate. When we start a new year we leave the student records from previous years; that way we can know what they have taken, and they cannot take a test twice. Look in the instruction manual for changing the teacher listing, etc. from year to year. If you don't have a manual, Advantage Learning will be glad to send you one. Hope this helps! Just don't erase their record. If you want you can delete their points at the end of 5th grade, but not the tests. It will carry over from year to year. I have even downloaded my 5th graders when they moved to another building and the librarian there uploaded them. That way they couldn't retake tests at her school. We use AR with grades 2 through 6. I believe that in the new version (5.0), there is a way to promote students to the next grade level without having to erase their record. I haven't tried it yet because we just upgraded to version 5.0 about a month ago. There should be instructions that come in the user's manual. If you're not running version 5.0, I believe that you can get the upgrade at little or no cost. Hope I helped!! It is a pretty easy solution. At the end of the year for your fifth graders, graders not delete their files. I am making the assumption that your AR is on a network. When you know their sixth grade assignment, simply go into their file and change their teacher name, grade level, etc. Then all their test records stay with them. I have AR in K-6 for 3 different buildings, and I transfer 6th grade records up to the Jr. High via the network, so a students record stays with them K-8. It only shows the student the data for the current year but it has all the tests from the previous year in the file and won't let them repeat a test. You should see their faces when I tell them the reason they can't take the test again is because they took that test on Apr. 12 last year or whatever. It really is funny. All of the student's records are then maintained k-5. No student is deleted until they leave our building following 5th grade. When they move to the middle school, I export their records to a disk and give it to the middle school teachers. They then import the records into their own computers for 6th grade (not networked). At the end of 6th grade, the records are once again exported, moved and imported into the 7th grade computers. This is repeated for 8th grade. I am not sure if they are continuing this to the High School. Some type of record is being sent so that kids can not repeat tests at the HS level. Freshman have to complete some AR tests and then their is an independent reading class that is an elective where the students read and test in AR. Our school has been doing AR for two full years now from K-12. The middle school has had AR for at least 5 years. One of our girls at the MS level has accumulated 1000 points in her 3 years there so I know that they are not deleting points and are importing records. Hope this helps you.
