Loaning out school equipment

I was wondering what you all do about groups outside the school borrowing
your equipment.  We have a big commons area that our sports booster clubs,
church groups etc. use for meetings and banquets and they often ask to
borrow TVs and VCRs but lately they are asking for our LCD projectors.  With
the price of bulbs today (and we don't have a budget for replacements or
repair) how do you handle this?  Does anyone have a policy or a contract
these groups sign? Thanks for any information!
