LM_NET Archive



Many of you requested a hit for end of the year procedures.  This a
compiled list from all of the responses I received.  Thanks to those of
you who generously shared your expertise! If you prefer it in a word doc
format, please email me off the list and I will be happy to share it as an
attachment.  Lisa

End of the year procedures
·       Set last date for interlibrary loan
·       Set date for return of all library materials by students (give yourself
enough time to check in materials, send out notices, collect $)
·       Set date for return of all teacher materials (send ample friendly
reminders)
·       Set deadline for laminating & copying (if you are responsible for this)
·       Send out “Request” form to teachers for new materials & Evaluation of
Services form
·       Send Overdue Notices to students and teachers
·       Send list of library fines/lost book charges to office/bookkeeper

·       Make up/find summer reading lists and offer to students, parents, and
teachers
·       Share summer reading lists with local libraries and bookstores
·       Talk up summer reading!
·       Invite a local public librarian to promote summer reading program

·       Take down bulletin boards/displays.
·       Plan for summer mail
·       Prepare and send a “what we did well” year-end report to administrators
·       Prepare copy for final newsletter
·       Make notes about changes or programs you want to add
·       Do a survey of your space.  Is it as inviting as it could be?  Can you
see all of the computer screens from where you usually are?  Were there
any problem areas?
·       Set up calendar for next year
·       Organize and clean
·       Find out schedule (or arrange) for special cleaning projects with
custodians
·       Conduct supply inventory (Make a list of needed supplies for next year)
·       Review and renew periodicals & newspapers

·       Reconcile accounts/budget (are there any outstanding POs? Do you have
money left over?  If yes, will it carry over or do you need to do some
last minute spending?)
·       Review consideration file & teacher requests for books/materials you
want to purchase
·       Get orders ready for next year

·       Collect & inventory AV Equipment
·       AV Equipment maintenance, repair & cleaning (do-it-yourself or hire out)
·       Remote control inventory
·       What new AV equipment needs to be ordered?

·       Catalog/Process new materials
·       (Re)shelve books and materials.
·       Read the shelves (i.e. make sure that the books are in the correct place
and order)
·       Print Shelf list
·       Conduct (whole or partial) Book Inventory/Weed outdated and worn
materials
·       Purge records
·       Repair/discard books
·       Box up & discard designated materials
·       Delete all students not returning
·       Run Circulation Reports (end of the year statistics)

·       Create a Curriculum Map for upcoming year (meet with teachers to plan
future collaborations)

·       Plan orientation of freshman (or youngest incoming class)
·       Plan author visits, special programs, promotions
·       Schedule aides
·       Recruit volunteers
·       Prepare welcome back letter

·       Pat yourself on the back for doing a good job!
