(This first post is from Brian, who is at a boarding school...somehow his sig got eaten. SORRY!) 1. For how long do materials circulate? - books (Fic and NF) - 21 days - renewable twice - DVDs - 3 days - non-renewable - VHS/CDs - 7 days - non-renewable - textbooks - 2 hours/overnight (for kids who forget their books at home, etc.) - non-renewable - periodicals - non-circulating - digital cameras/camcorder - 3 days - non-renewable 2. Does circulation time vary based on the type of material (overnight for reference, 1 week for magazine's, two for novels etc.,) or by grade level? - circulation varies by item, noted above - juniors and seniors can take out more books than frosh/ sophs 8 vs. 12 3. How often do you issue overdue notices? - all of our kids have laptops with school email, so overdue notices are sent out automatically by our library system three times each day. Students get a reminder, again automated, three days before a book is due. 4. Do you offer a 'grace period' for overdues? - there is a one day grace period built into each checkout. Books have additional 5 day grace period, but then the fine for the whole 5 days kicks in. 5. Do you charge overdue fines? - yes we do and they are rather steep. DVDs are $1/day (we have a collection of 2000+ with 70% being popular type movies). Books are $5 after 5 days. If they return the book after 4 days overdue (and that would be at least 12 email notices) there is no charge. 6. If you do charge fines, who is responsible for collecting them? - we collect fines at the desk. If students owe money they cannot take out other materials. As a boarding school the students want DVDs for Saturday/Sunday so they pay their fines. If I ran an overdue report on any given day before we charged fines (4 years ago) there would be 50+ students/100+ items overdue. I just ran the report and there are 3 students/5 items. Also, to note, we use fine money to help pay for raffle prizes for the various library parties throughout the year (Halloween, Holiday/Winter, Mardi Gras, and cinco de Mayo). - students with overdue charges are sent an automated notice three time/day - students can pay in cash or use their school debit card, if there's money on it. Any outstanding fines are sent home in a bill from the school at the end of the year. How do you handle change/receipts? - we have a change drawer at the desk and a receipt printer. 1. We do not circulate magazines or discriminate by grade level. 3. How often do you issue overdue notices?...weekly, addressed to the student and delivered to the homeroom teacher. 4. We do not charge for weekends, holidays, any day we're not in school or that I am not at school (because my principal does not hire a sub and students have no access on those days) I also do not charge students when they are absent if they return their books the day they return to school (my students all have access on any day during the homeroom period as long as they get a hall pass from the teacher.) 6. If you do charge fines, who is responsible for collecting them? ...I collect them and periodically turn them in to the office with the required accounting forms. The money is deposited into a restricted account that I spend at my discretion as long as I use a school purchase order signed by the principal. How do you handle change/receipts?...I keep fine money in a lockable cash box and make change on the spot (we also have a pencil dispenser and I frequently have to give change for that.) When the fine money amounts to several dollars or a student pays for a lost book, I turn money in to the office, but I always keep enough back for making change. Students also lose library pass privileges. We are automated, so we routinely override the due date to whatever date the assignment is due. This has helped reduce overdues tremendously! We often let the student tell us when they want to bring it back - and they do! I found that I had more outstanding overdue books. I don't circulate reference books or magazines. All grades receive the same circ. time. I try to issue overdue notices every week. Every other week at the least. I have found that more I send them out the faster I get the books back. I do charge fines of 5 cents per day with no grace period. If a due date falls over a vacation I just extend it to the first day back at school. I also don't charge a fine if I am absent for the day. I'm responsible for collecting all the fines. At the end of the school year any books or money I don't receive I put into a spreadsheet and give to the main office. They then hold report cards, schedules, etc. I don't give receipts but do record when the book was returned and how much the fine was. I keep a lock box in my storage room with the fine money and haven't really had problems with making change. When I hit a certain amount usually around $40 I turn the money into the main office to be put in the library account leaving a few bucks for change. Hope this helps. How often do you issue overdue notices? I send notices once a week on Thursday afternoon. (They go in homeroom teacher's mailboxes to be distributed Friday morning) 4. Do you offer a 'grace period' for overdues? No, but once a year I have an "Amnesty" day where students can return any overdue materials and have fines completely forgiven. 5. Do you charge overdue fines? Yes. I charge 5 cents per day (for every day that school is open). The fine gets maxed out at $1.00 per material. Also, students who were absent on the day due have the fine forgiven (as long as they bring it back the next day) 6. If you do charge fines, who is responsible for collecting them? How do you handle change/receipts? I collect the fines. The Vice Principal gets a print out from me about once a month with students who are LONG overdue on both books and fines. Those students are placed on Privilege Denial, and have 'points' marked against them. A student who accumulates so many points may not participate in fun end-of-the-year activities. How often do you issue overdue notices? - we try to get them out once a month, but often we can't, e.g., my assistant has been out for 7 weeks this year. 4. Elementary and middle school students do not pay fines. 6. If you do charge fines, who is responsible for collecting them? - I do, or my assistant. How do you handle change/receipts? - We take the student's overdue form and write "Clear Hold" on the form, and initial it with the date. If the student does not have the form with him, we locate our copy of the form, clear it, and make a copy for the student. Then we delete the fine and put our copy in a Cleared Hold notebook. We write the student's name on a student remittance form which we keep at the front counter. If a student does not have his copy of the form with him, we might not be able to make a copy for him, especially when the amount is under a dollar and it is extremely rushed at the counter. I usually reduce fines for an item to $3.00 for a semester. If it goes to a second semester, I will allow the fine to get as high as $6.00. If a student leaves at the end of the school year and still has the item, I will add a $3.00 charge for the summer. 1. Books circulate for two weeks. Videos, magazines and books on tape circulate for two weeks. Students can take out 4 items at a time, but can take out only one video, one magazine, and one book on tape. 2. Students are not charged fines for overdue books. They can't take out anything if they have an overdue book. Overdue notices are issued once a month. 3. The library clerk handles payments for lost books and other materials. Students are given their money back if they later find the item. Dianne Brach William Street School Lancaster, New York We circulate materials for 4 weeks. I inherited the policy of not circulating Ref., but I do occasionally let someone take it overnight. We do overdues about every month - 2 months. I have no fines, to me they're more trouble than they're worth, and I don't think we have any more problems with getting materials back than anyone else. We scare everyone at the end of the year by telling them that if they don't return the book, then they have to pay for it. In reality, we don't really "catch" them for that until they're ready to graduate, but again, I don't feel that we have a problem with getting books back. I should add that I am in a small school, 600+ students, so it is fairly easy to manage. We have no periodicals, only online databases. Students cannot take Semester exams if they have any outstanding items or charges so I get everything before the exams begin. However, I will, on a case-by-case decision, forgive fines. I have also been known to renew items if the student really needs it and no one else is waiting for it. 7. How do you handle change/receipts I have a petty cash fund (the fines go into it) and use the overdue notice as a receipt. I sign and date it.
