Hey Folks,

Would some of you please weigh in on a few circulation questions?

1. For how long do materials circulate? 10 school days for Fiction,
nonfiction, and magazines and journals for students. Teachers have all
year.

2. Does circulation time vary based on the type of material -
Reference is 1 day
All materials can be rechecked as long as needed.

(overnight for reference, 1 week for magazine's, two for novels
etc.,) or by grade level?

3. How often do you issue overdue notices? once a week

4. Do you offer a 'grace period' for overdues? no

5. Do you charge overdue fines? $05/school day

6. If you do charge fines, who is responsible for collecting them? we
collect them in the MC

How do you handle change/receipts? change is turned in to the
bookkeeper and receipts are printed on request.

Most books circulate for 4 weeks.

Circulation varies by type- Books are 4 weeks, Circulating reference
overnight, Cliffs notes, overnight. I don't circulate magazines.

I try to do overdues weekly-that doesn't mean my treachers hand them out
weekly.

I have a one day grace period. plus I don't charge for weekends or
holidays.

I charge 5 cents a day for 4 week books, 25 cents a day for overnight
books. I cap the fines at $3.00 for regular and $5.00 for reference.

We collect them at the circ desk and keep a change fund on hand.

Hope this helps--Carol

. For how long do materials circulate?
Magazines - 1 day Books - 2 weeks Reference - not at all
(Teachers may have books, videos etc for one month)

2. Does circulation time vary based on the type of material (overnight
for reference, 1 week for magazine's, two for novels etc.,) or by grade
level?
All student circulations (except magazines) are two weeks

3. How often do you issue overdue notices?
        Every two weeks

4. Do you offer a 'grace period' for overdues?
I don't charge for overdues so they basically have until
"whenever" to bring hem back - however, they are not allowed to check
anything new out until all overdues are back.

5. Do you charge overdue fines?
        No

6. If you do charge fines, who is responsible for collecting them?
If a book is lost, the student must pay for it - they pay me
either in cash or check and I deal with the office to make sure it is
deposited in the correct account.

7. How do you handle change/receipts?
I write up a cash receipt (a carbon copy book from staples) for
the student and that way we both have a copy. Also, I mark their
account as having paid a fine for that book so if it does turn up, I
know they have paid for it. I keep a cash box of change and small bills
available for cash transactions.

1. For how long do materials circulate?

Students 2 weeks; Staff as long as needed

2. Does circulation time vary based on the type of material
(overnight for reference, 1 week for magazine's, two for novels
etc.,) or by grade level?

I do not allow reference materials to be checked out. They are allowed
to make a copy of the materials needed

3. How often do you issue overdue notices?

When I think about it. I try to do it every day, but sometimes it
doesn't get done.

4. Do you offer a 'grace period' for overdues?

1 day

5. Do you charge overdue fines?

$.10/day overdue

6. If you do charge fines, who is responsible for collecting them?
How do you handle change/receipts?

I am responsible for collecting fines. I normally do not issue receipts
for fines, just lost books. This money goes into the library activity
account.

2 weeks for students, 30 days for teachers.

REF and periodicals don't circulate to students. Teachers get 30 days.

First school day of each week (except that lately we've missed so
many days due to weather that we haven't had a full week for quite a
while now.)

Up to a week. Since I only due overdue notices once each week, if
something is due on Monday it won't appear until the next Monday's run.

No.

That's why we don't charge fines!

Per your questions:
1. 2 weeks
2. Differs only for laptops, which is overnight. Reference
materials are not available for checkout; we have very few magazines
anymore and
they're available only in-library.
3. 1x/semester, although we remind students when they come in (total
school population <500, which makes this easier to do).
4. About 5 days.
5. Yes; .05/day.
6. Library is responsible, although we can put a hold on transcripts
and/or diplomas for missing books or large fines. This is handled
through the
office. We have a "fine" account, make change from that ($$ stored
in vault at night as had a theft last year). We must write/issue
receipts for
everything. Our student aides can collect fines and write receipts, but
they must be signed by my boss or by me, not by student aides.

Hope this helps,
pj

Lizanell,
1. In general, three weeks.
2, Yes, it varies - 3 weeks for most books, fiction and non-fiction -
1 week for magazines - overnight for Ref. if they can make a case for
needing it - overnight for videos. Our audio books are the same as a
print book, 3 weeks.
3. Every three weeks.
4. Not sure what you mean by grace period, because we don't charge
fines. We don't let kids take out new books if they have overdues,
altho at the discretion of the circ clerk, they can override that.
5. No.
6. We used to, and we collected the money, made change, and gave
receipts - but I found that it wasn't an incentive, and we didn't
make enough money to make a difference. There were some oldtimers
here who predicted the end of libraries as we know them if we
discontinued the fines, but amazingly we have just soldiered on :)

Good luck with all this,
Teri

High School Level - (400 population)
1. For how long do materials circulate?

Students: books: 2 weeks, older magazines: 24 hours, camera: 1
hour (must stay on campus), current magazines: in library use only,
reference: in library use only
Staff: books: 4 weeks, older magazines: 1 week, camera: 24
hours, current magazines: in library use only, reference: 24 hours

2. Does circulation time vary based on the type of material
(overnight for reference, 1 week for magazine's, two for novels
etc.,) or by grade level?

        See above

3. How often do you issue overdue notices?

I try every two weeks, however I usually get to it once a month.

4. Do you offer a 'grace period' for overdues?

Yes, 2 weeks - then I start hounding them.

5. Do you charge overdue fines?

        No

6. If you do charge fines, who is responsible for collecting them?
How do you handle change/receipts?

For the finds I do accrue for lost books, I am in charge of
collecting the fine. I have to write a receipt out of a school receipt
book. The money then gets deposited back into my budget to replace the
book. I have to turn in the receipt book at the end of the year.

1. For how long do materials circulate? Children 1 week, Teachers 3
or as long as they need. I change the due date for project related
materials.
2. Does circulation time vary based on the type of material
(overnight for reference, 1 week for magazine's, two for novels
etc.,) or by grade level? Only books circulate to the children.
Teachers can get anything for 3 weeks. K-2 get can check out one book
if they've returned the book they had out, Grades 3-5 can have a
total of two books out at a time.
3. How often do you issue overdue notices? We print them out the day
after books are due for the children and once a month for the staff.
4. Do you offer a 'grace period' for overdues? If a book isn't
returned after 3 overdue notices they are billed. I call it the magic
letter since the book 'magically' appears!
5. Do you charge overdue fines? No
6. If you do charge fines, who is responsible for collecting them?

1. and 2. Circulation time does vary by type of material here.
Reference is overnight as are older magazines. New magazines
(current months issues) can only be used that day. All other books
are 2 weeks but can renew for another 2 weeks-up to 3 renewals.

3. We send overdue notices to each homeroom every Wednesday. I send
a notice home after a month.

4. I don't give a grace period because of renewals.

5. At this time we don't charge fines. When I send a notice home I
tell the parents the replacement cost for that title.

1. For how long do materials circulate?
14 days
2. Does circulation time vary based on the type of material
(overnight for reference, 1 week for magazine's, two for novels
etc.,) or by grade level?
no
3. How often do you issue overdue notices?
for now I don't - I'm new to automation and can't quite figure out
how yet!
4. Do you offer a 'grace period' for overdues?
I've been letting students renew even if they didn't have the book
with them - we have a "limit number" for each grade level (i.e. - 4
books and 1 mag for 5th grade)
5. Do you charge overdue fines?
no
6. If you do charge fines, who is responsible for collecting them?
How do you handle change/receipts?

Hi,
I work in two elementary schools - under two different school
systems. Anyway, I have two different circulation policies - sort
of. In both schools students are allowed to check out only two
books, except when they request more for a special project or because
I feel they can be responsible for more than two books. They
circulate for one week. If the books are late, I used to charge a
daily fine for one of the schools but it takes a lot of work to
maintain fine reminders, so I gave up and now if a student has a
book way overdue, I just make up a fine of 50 cents or $2 or whatever
to shock them into getting the book back. I also collect the fine -
if I think of it. The other school does not allow fines but I do
charge for damaged or lost books. In both schools, if a student does
not return all books on time, he/she is not allowed to check out any
books until all books are returned. In other words, if they check
out two but return one, they still cannot check out one book until
they return all books.
Hope this helps.

1. Most items, 4 weeks.

2. Yes.
Books, 4 weeks.
Periodicals, 5 school days.
Reference, over night.
DVDs, over night

3. Overdue notices and notices of fines are issued weekly.

4. Yes, 5 school days.

5. Yes, 50 yen (about $.40) per item, per day, beyond the 4 weeks
plus the additional week grace period. We also offer students the
opportunity to "read off" their fines, basically, 10 minutes of
recreational reading for each 100 yen owed. [I found this idea in a
library journal a couple of years ago. IMHO, good PR with parents.]

6. My partner and I collect the fines; we keep the money (to be spent
on book marks, posters, decorations, etc) and are able to make
change. When a student pays, we turn the screen so the student can
see that his/her fine has been resolved. We do not issue receipts
(although I have worked in a school where we used an adding machine
that issued paper receipts for students).

1. For how long do materials circulate?   General materials, 3 weeks;
Reserve & Reference, overnight or weekend; magazines, 1 week. Can be
renewed if no reserves on the material. Teachers may check out
materials for 90 days---one semester.
2. Does circulation time vary based on the type of material
(overnight for reference, 1 week for magazine's, two for novels
etc.,) or by grade level? Yes, see #2
3. How often do you issue overdue notices? Everyday for students.
4. Do you offer a 'grace period' for overdues? If material is turned
in on the next day after the "due date", there is no charge. Turned
in after then, the so called "grace day" counts 1 day. This is a
feature of the software---Destiny.
5. Do you charge overdue fines? yes to students and external
borrowers, not to teachers; however even teachers have to pay for
lost materials.
6. If you do charge fines, who is responsible for collecting them?
Librarians. No report card until fines paid.
How do you handle change/receipts? We have a petty cash account.
Receipts can be printed off Destiny---automation system.
