I just finished the following as part of my request for a new clerk at the
high school.  It was compiled as a hit using the words job description in a
search of the LM_NET archives.  Thanks to all who have submitted information
in the last few years.  I know there are more elementary-related items aides
do, but I'm too tired to think of them.  If you care to jog my memory I'll
add them to my list and post on my website.  That way when you want it you
can just copy it off my website and delete the things that don't apply to
your school.

I liked the results of this so much I'd like to do one for myself as media
specialist just to kind of remind everyone in the board and administrative
offices of just what I manage to get done in the 20 or so hours a day I
devote to my job (well, perhaps a little exaggeration but not that much).  I
have the shell of one, but would welcome new submissions.  Again, I'll
compile and post so you can copy, paste and delete to make it fit your
situation when you need it.

Text of Media Aide is as follows:

Title: Library/Media Educational Assistant, High School

Qualifications:

1. High School Graduate minimum.  Some college is preferred, as you will be
assisting AP students in some cases.  College classes in librarianship,
information science, or technology is a plus.
2. Ability to type at least 35 wpm
3. Literate in reference work.  Must be able to use basic reference works
(print and nonprint) with ease.  Thorough knowledge of the Dewey Decimal
System is expected.
4. This position is a support position to the Librarian/Media Specialist.
Depending on the specific skills of the eventual involved parties, the
position may focus specifically around automation for the next three to four
years.

Reports to: Librarian/Media Specialist

Reviewed By: Principal, with input from Librarian/Media Specialist

Basic Functions:

1. Performs clerical duties of a wide variety using established procedures
and methods.
2. Aids the Librarian/Media Specialist in implementing the objectives of the
library program.

Performance Responsibilities.  May include but is not limited to:

Section I Circulation

1. Adds and & withdraws students and staff to/from system..
2. Adds categories to the system.
3. Adds students and/or patron information to the Circulation database.
4. Aids in mechanical preparation of new library materials to prepare books
for circulation.  May include stamping property stamps, putting book jackets
on new books, assigning barcode numbers, applying protective tape and/or
covers on books, applying labels and classification stickers and others as
needed per book
5. Aids in shelving of library materials
6. Builds bibliographies.
7. Calculates all fines as needed.
8. Calculates fines for withdrawing students sent as a report to the office
and guidance.
9. Checks books in and out using Follett CircPlus software
10. Completes computer searches for class and staff materials.
11. Completes inventory scanning & reports annually or at the designated
time for Inventory.
12. Does data entry for automated card catalog using Follett Catalog Plus
software.
13. Establishes procedures for and track A/V checkout.
14. Maintains the book records on the Circ.Plus system
15. Prepares bar codes for patrons and new titles.
16. Prepares library materials for reserve on teacher's request, and
maintains reserve shelf
17. Prepares monthly statistic reports.
18. Reports lost books to the office at the end of each semester and
researches replacement costs as needed.
19. Runs shelf check reports for library student assistants.
20. Starts up and shuts down computers
Performs disk & streamer tape backups.
21. Updates computer calendar as needed.
22. Using word processor and/or circulation program, prepares daily overdue
lists.  May collect fines and issue receipts.

Section II Training and Supervision

1. Assists students at the request of librarian or in the absence of
librarian in areas such as searches of OPAC, Internet, specialized CD-ROMs,
MAS, SIRS, etc.
2. Checks Ids and monitors computer and Internet usage.
3. Establishes and maintains effective working relationships with library
and school staff and faculty.  This may include soliciting information for
bibliographies and/or training of faculty on specialized reference software.
4. Monitors attendance and passes and keeps attendance records.
5. Monitors student passes.
6. Provides one-on-one help for student library material searches and for
those students of high need .
7. Supervises of student assistants during the school year on a daily basis.
8. Trains adult volunteers to the library.
9. Trains student aides and assistants as needed throughout the semester(s).

Section III  Technology

1. Coordinates video duplication, audio recording & duplication with Channel
17.
2. Drains & charge of various NiCad batteries., charging and monthly
exchange of lead acid & nickel metal hydride batteries.
3. Edits video and teaches editing to students and staff via Avid Cinema
(training provided); assists teachers and students in preparing Hypercard
stacks as needed.
4. Programs VCRs for recordings of off-air and cable broadcasts.
5. Records and operate teacher requested cable programs as needed.
6. Reprograms and rewires/recables TV/VCR set-ups in classrooms.
7. Supervises Channel 1 requirements.
8. Teaches the student assistants to tape professionally for staff.
9. Troubleshoots AV equipment and computers.

SECTION IV Clerical
1. Aids in the mechanical preparation of new library materials to prepare
books for circulation.  May include stamping property stamps, putting book
jackets on new books, assigning barcode numbers, applying protective tape
and/or covers on books, applying labels and classification stickers
2. Aids in the operation of equipment and office machines such as
laminators, binders, copiers, etc.
3. Assists classes in scheduling time in the library.
4. Assists teacher in classroom in checking out classroom collections.
5. Assists with preparation of training materials for student library
assistants in the fall and again at semester change.
6. Creates of new training materials & update of established materials
required.
7. Creates replacement Ids at request of office.
8. Helps with *Book Fairs *for the library
9. Helps with book order selection and order preparation.
10. Logs in Periodicals on a daily basis, process into the collection
(stamp, issue date, tape, remove loose advertisements).
11. Maintains files of catalog cards, vendor files including publishers,
administrative files, and the like.
12. Makes copies as required for media center operation or as requested.
13. Makes signs, dry mounting, laminating, matte items.
14. Makes transparencies via ThermaFax or teach teachers how to make
photocopy transparencies.
15. Oversees the general neatness and attractiveness of the library and its
displays and performs other tasks as the librarian may assign.  May include
tasks such as dusting shelves, cleaning off graffiti, straightening chairs
and shelves, picking up litter, shifting the collection, etc.
16. Participates in the grading process with the librarian.
17. Prepares and handles correspondence by phone, e-mail, fax. Takes
messages. Files.
18. Prepares book displays, bulletin board displays.
19. Prepares department newsletters to staff.
20. Prepares purchase orders for: newspapers, magazines, book orders,
supplies.
21. Prepares special reports of library materials as requested by specialist
and teachers
22. Pulls collections for classes. Record keeping/ title price and date due.
23. Receives, sorts, and distributes mail to the appropriate library
personnel.
24. Routes magazines to staff and tracks of missing magazines.
25. Types, receives and processes orders, reports, bibliographies, forms,
library schedules, letters to publishers, catalog cards, and the like.
26. Wordprocesses.  May include newsletter, parent overdue letters, new
acquisitions letters, etc.

*Following software knowledge is needed:

Clarisworks or similar word processor
Netscape or Internet Explorer
MAS, SIRS or other periodical databases
Follett Circulation Plus or other circulation software
Follett Catalog Plus or other OPAC software
Mitinet MARC or other MARC creation software

Section V Maintenance

1. Aids in the annual inventory of library materials and in the preparation
of lists of missing materials.
2. Checks and clean audio visual equipment as needed.  Perform basic
repairs.
3. Establishes and maintains effective working relationships with library
and school staff and faculty.  This may include soliciting information for
bibliographies and/or training of faculty on specialized reference software.
4. Inspects new book shipments and process into the collection with date,
price, stamp, bar code, spine label, cover & entry to the computer.
5. Inspects new equipment, bar code, enter into system.
6. Mends and repairs books
7. Prepares articles for & do the statistics for the media center.
8. Prepares bindery order yearly.
9. Takes care of library plants and furnishings.
Withdraws outdated & damaged books and equipment (release stamp, pull cards,
complete required paperwork)
