I started out with a similiar situation before automation. It took me a few
years to sort it out. I had books with no cards, card only in the shelf list
an so on. The corners of the shelf list were purple if they needed cards in
the card catalog. Red if they were a title book.If you are sure you are
going to get automated I would enter the books run a copy then check your
shelflist if you feel you need to keep on in case your computer crashes.  If
you don't get one you'll have to wait until you can inventory the shelf list
with your books and put colored clips on the cards where you can't find the
books. It comes down to time.

I inherited a media position supervising five buildings (4 elementary, 1
middle school).  Here's the problem: the shelflist and card catalog in each
building were not maintained.  When books were acquired or lost, cards were
not filed or pulled.  No cards were ever created for donations.  I have
found boxes of cards in closets, drawers, a complete nightmare.  I am
considering requesting funds for automation, and have been told by numerous
people in the field to make sure I weed and get shelflist cards in order
first.  But honestly, the shelflist cards are such a disaster, I don't know
where to start.  There is no way we can close the libraries so that we can
get everything in order-it would simply take too long.  I need this
shelflist/inventory process to happen while we are open for kids and
circulating.  My goal is to simply have a record of each item on the shelf.
Do I start from scratch or try to use the cards we already have and create
new ones for books without?  I've talked to colleagues in other districts,
and not a single person has ever heard of such a mess.  How to fix a problem
that took 20 years to create?
