Hi, all,
We have a system of clipboard management in our 6-12
LMC. Any student walking in or out visits the circ
desk first.

To come from study hall for the whole period, students
have to get a color-coded pre-signed pass from us (we
make our own adapted from Joyce Valenza's PowerTools)
before they go to study hall. Study hall teachers sign
and put the time on it--which we check if a student
arrives more than a few minutes into the period.
Students leave the pass and record their arrival time
when they walk in making it easy for us to glance to
see who has arrived or not.

To get the pass, students fill out a line on that
period's sign-in sheet (same yellow color as the
library pass) with their name, reason for coming and
room number. We number the pass with line number and
period and can limit the number coming if there are
scheduled classes filling the seats. Students may get
them before school and between periods, even between
period 1 and 2 for period 9, for instance.

If they (or their teacher) decide they must stay in
study hall, it is their responsiblity to call us or
send the pass back with another student from the SH. A
student who gets a pass signed and doesn't show up is
treated as if they are skipping a class; it doesn't
happen very often. We have the room number and can
make a call if someone doesn't show up. Love those
classroom phones!

Teachers can also give up to two students at a time
passes from class or study hall to do "short work"
(not involving a whole period like getting a book or
photocopy or finding a current events article).
Students sign in on a different clipboard. If a
teacher needs to send more than two students or has
students needing to do longer work, they call us or
send a note with the student. We sign the pass when
they leave and students record themselves in and out.

The third clipboard (another color again; OK, it's for
OUR sanity) is for THE pass (one at a time) for the
lavatory or locker and students are expected to be
timely (since other students may be waiting for a
pass). Other passes are the ones we handwrite (nurse,
guidance, office) and the students sign out and in on
the third clipboard.

At the end of a period, passes are stapled to the
period's sheets and kept for the month for
administration to check if a student seems to be
misusing their passes or time in the halls (happens
about five times a year but keeps the administration
in support of our system).

Students know they are "tracked" and that the system
keeps them out of trouble when they can "prove" they
were in the library instead of someplace they aren't
supposed to be.

We've developed it over the years to be as little
management time as possible with students taking a lot
of responsiblity for signing themselves in and out--as
long as they are trustworthy. AND, we can keep a list
at the desk of students who push their behavior too
much and can't get passes for a few days, a week or a
couple of weeks, doing our own discipline that way,
also making the assistant principal happy. He knows if
we refer a student to him for discipline, it's a
serious infraction. It happens about once every two
years, maybe longer.

Any system has to work for you, the students and the
administration to be successful. Use of the library
during study hall time is a right AND a privilege.
